If you’re thinking of implementing EDI for the first time, then you’re bound to have some questions about how it can help you communicate with your trading partners and what message types you can send back and forth.
At NetEDI, we have the capability to allow businesses of any size to send any message type to their trading partners, automatically and securely. Let’s have a look at the most common message types and how this can help your business.
What is EDI?
EDI stands for Electronic Data Interchange and it’s a way of exchanging messages with your trading partners electronically, automatically and in a standardised format.
EDI has the potential to cut down on costs, manual labour and errors and seriously improve the document turn around time and accuracy of your communications. It eliminates the need for manual re-keying in of data and automates your everyday essential business document exchange, leaving you to focus on business growth and high value tasks.
How EDI messages work
Here’s a straightforward example of how EDI exchange works:
• A business raises a purchase order.
• This is converted into EDI format and submitted to their supplier electronically.
• The supplier receives that data as a sales order in EDI format.
• The sales order can be read, printed or processed into an accounting system.
• The order can now be turned into an invoice which can be sent back to the customer using EDI.
It’s that simple – EDI automates these everyday messages between businesses and increases speed and accuracy.
How we deal with messages
The way we deal with messages is unique. While other EDI providers may reject a whole order if there is one error in it, we can check the order and just reject the part that has the error, while processing the rest. For example, if you happen to receive an order with 100 items on it, and one has an error we will send the 99 correct ones on and hold the incorrect one back and investigate it for you.
Our pro-active approach to message validation will give you complete peace of mind and, in most cases, errors are resolved without any need to involve our customers at all.
What message types can I use?
NetEDI has the capability to facilitate the exchange of any message type. We can create a package with the specific messages required by your business making our service truly bespoke and tailored to your needs.
Here’s a list of some of the message types our service supports:
• Order response
• Advanced Shipping Notes
• Order change
• Delivery confirmation
What if my trading partners don’t use NetEDI?
If you decide to select us to provide your EDI services, you don’t need to worry about whether your trading partners use us as well. We will send out a Letter of Intent to all your trading partners letting them know that you have chosen our services and what this means. We will also send them a message guide to make sure they know how to exchange messages with you in the correct way.
The PEPPOL standard of messaging
If you are an NHS Trust or you supply any type of goods to the NHS, you will have to move over to a new standard of messaging called PEPPOL. This stands for Pan European Procurement Online and this is the standard of messaging the Department of Health has chosen to roll out across the whole NHS Supply Chain, so that everyone will be part of one, interoperable network.
NetEDI is the leading provider of PEPPOL solutions in the UK and has been chosen by NHS Supply Chain to provide their PEPPOL solution. We’re experts when it comes to connecting the NHS to their suppliers so if you want to know more about starting to trade, or continuing to trade with the NHS, just get in touch.
There are many advantages to switching over to PEPPOL which you can read more about in our previous blog
How many messages can I send?
How many messages you can send via EDI each month will depend on the type of solution you have. NeTIX is the name of our software and we have three different types of NeTIX solution available, NeTIX Starter, NeTIX Professional and NeTIX Enterprise. NeTIX starter is designed for small to medium sized businesses that want a low investment start in the EDI world. It’s accessed by a portal on your desktop and has a user-friendly interface. For a demonstration, have a look at our video on our product page.
NeTIX Professional is designed to allow you to integrate your EDI messages with your existing back office system. This means your NeTIX system and your accounting, inventory and sales data can all work together, be updated in real time and be accessed on the same platform.
NeTIX Enterprise is generally suitable for larger companies and is designed to handle a very high workload and lots of messages being sent and received each month.
The important thing to remember is that we can create a truly bespoke service for your business within NeTIX. Whether you’re on Starter, Professional or Enterprise, it is still possible for you to add more message types and increase your message allowance each month. With NeTIX, you can be sure that your system is ready to grow along with your business.
